    Administrative and Donor Relations Associate

    Position Type:  Part time,  non-exempt

    Reports To:  Development Director

    Wage: $16-17.50/hour DOQ

    Stearns History Museum Information:  

    The Stearns History Museum connects people through the power of history and culture.  Located just off Highway 15 in St. Cloud, Minnesota the Stearns History Museum (SHM) sits on six acres adjacent to Heritage Park.  Families can make a day of their experience and visit the museum, use the skate park, or walk the easy trails. At SHM visitors can use the archives and library for historical research, explore the exhibit galleries and discover the history of Stearns County, or participate in programs offered for people of all ages.  Special events annually highlight important moments in time.  Anyone interested in exploring their roots is welcome at the Stearns History Museum.     

    PRIMARY RESPONSBILITIES:  

    The Administrative and Donor Relations Associate is a key member of the museum’s Development team.  The Associate supports the initiatives of the Executive Director, Development Director, and Board of Directors, specifically donor and member relations and communication.  The Associate is responsible for maintaining confidential donor records and managing the donor database CRM.  They will also provide donor information to the Development Director, Executive Director and Board members in a timely, professional manner.  Additionally, the Associate will be responsible for daily donor and member communications as well as general community outreach.       

     

    DETAILED RESPONSIBILTIES:

    Donor and Member Relations Responsibilities

    • ·       Manage and maintain donor database CRM
    • ·       Update donor records and research donor prospects
    • ·       Run donor and member reports
    • ·       Create email and mailing listings for Museum events and programs
    • ·       Provide data oversight to ensure efficient and effective communications with donors
    • ·       Write and edit letters to members and donors as directed by Executive Director and Development Director 
    • ·       Analyzes success of mailings/solicitations to assure value of investment
    • ·       Support donor and member event planning and implementation
    • ·       Assures accuracy of sponsorships and donor information in all publicity, communications, and public information
    • ·       Maintain Development and Board administrative calendar

    Public Engagement Responsibilities

    • ·       Answer phones, set appointments, and respond to general inquiries about the Museum by the public
    • ·       Serve as front desk greeter and program and event support as needed
    • ·       Assist with management of online store and event ticket sales
    • ·       Attend community festivals and meetings to promote the Stearns History Museum and encourage membership

    Other Duties as Assigned

    QUALIFICATIONS: 

    • ·       Associate Degree in Communications/Business Office Management or Bachelor Degree in Communications/English and 2-4 years of communications/research experience, or equivalent work experience
    • ·       1-3 years of membership or donor relations experience
    • ·       Excellent writing, speaking, project management and interpersonal skills
    • ·       Must have valid driver license, reliable vehicle and be willing to travel within the county
    • ·       Must be available to work weekends and evenings
    • ·       Must be willing and able to work as a member of team
    • ·       Must be able to pass a background check
    • ·       Must be self-motivated, and enthusiastic about working with diverse audiences
    • ·       Able to handle multiple projects at once
