    Split Rock Studios has an immediate opening for a Project Manager to join our exhibit design and fabrication services team. Share your knack for details, efficiency, and enthusiasm for exhibit management with us!

    The Project Manager…

    • Completes projects on time and within budget.
    • Resolves client concerns and project issues effectively.
    • Ensures client satisfaction.
    • Meets projected profit margin.

    This position reports to the Operations Manager.

    Areas of Responsibility and Specifics

    Project start-up

    • Hold hand-off meeting with sales/proposal creator and project team that may include exhibit and graphic designers, exhibit developer, estimator, and shop and art fab managers.
    • Administer and maintain project contracts from kickoff to installation/close out.
    • Understand and brief the project team on contract value, deliverables, and schedule.
    • Serve as initial client contact. Manage rapport and expectations with client: Explain Split Rock Studios process from beginning to end. Discuss payment schedule with client.

    Meetings

    • Create agenda for all meetings.
    • Create meeting notes with tasks and due dates to send out after meeting.

    Invoicing/change orders

    • Generate percent complete on projects with supporting documentation for billing purposes.
    • Create, track, and ensure change orders are presented and processed in a timely fashion, when necessary.

    Project team management

    • Follow through on Project Manager’s commitments made to the project as well as making sure other team members follow through on their commitments.
    • Delegate work to the appropriate team member.
    • Hold people accountable for their work.

    Develop, maintain, and manage project work plan

    • Create plan with participating team members.
    • Prioritize tasks that must be completed and in which order.
    • Request information to create a detailed work plan.
    • Create and maintain project schedules with team:
      • Project life
      • Submittal and reviews
      • Production
      • Installation
      • Closeout

    Follow Split Rock Studios standard processes

    • Use project management checklists.
    • Use approved standardized forms for all project correspondence and schedules.

    Communication

    • Keep client and team members informed of project updates.
    • Facilitate project meetings on a regular basis to ensure project maintains on schedule and problems are resolved.
    • Implement and maintain RFI process.

    Purchase orders

    • Manage specialty vendor agreements (AV software, AV hardware, outsourced interactives, front-end consultation work — lighting design, formative evaluation, etc.)
    • Hold vendors accountable for scope of work delivered on time and on budget.

    Create project close-out package

    • Walk through completed exhibit space with client to identify any punch list changes.
    • Create and distribute O&M information.
    • Ensure all punch list items are resolved in a timely manner.

    Follow-up

    • Remain in contact with client to resolve any issues that arise after project close out.

    Minimum Qualifications

    • Experience in contracts and contract negotiation
    • Versed in all aspects of the construction management process: pre-construction; construction; and project close out.
    • Experience with milestone-based scheduling with a proven track record of “On Time and On Budget” projects, as well as multi-project management experience.
    • Strong ability to build rapport across all levels of the organization and with outside vendors
    • Ability to manage/juggle multiple tasks/projects simultaneously
    • Ability to maintain confidential information
    • Strong time management and organizational skills
    • Comfortable working independently or on a team
    • Ability to apply experience-based knowledge and leadership skills toward organizational goals
    • Strong sense of initiative, requiring little direct supervision
    • Ability to exercise sound judgment to make decisions toward the objective of satisfying client needs
    • Impeccable integrity and work ethic; self-motivated to take initiative
    • Sense of humor and positive attitude
    • Understanding and/or knowledge of building codes, ADA requirements, etc.
    • Familiarity with various types of building systems including, but not limited to HVAC, plumbing, electrical
    • Ability to read and understand AutoCAD printouts
    • Ready to use WorkZone and Google Drive

    Experience and Interest in Exhibit Design

    • You have a bachelor’s degree in management or a minimum of 3-5 years in exhibit or similar project management. PMP certification is not required, but would be a bonus.
    • With your background in a museum, zoo, or exhibit design or trade show firm, you will be able to start on day one without a large learning curve in the world of interpretive design. This is a field you particularly enjoy.
    • Your strong time management and organizational skills contribute to your accountability and success in working on multiple long-term projects that can take months, a year, or more to complete.
